Booking & Payment Policy
From a travel idea to a confirmed plan.
01Enquiry, quotation and booking are different
You can explore destinations and submit an enquiry without making a paid commitment. The form records whether you are interested in a Group Trip or Private Trip, along with your contact and travel preferences. We use that information to discuss a possible itinerary. A website confirmation of form processing only relates to the enquiry. A booking exists when the agreed travel services are confirmed in writing and any payment requirement under the disclosed schedule has been met. Until then, do not assume inventory is held.
02What your quotation should include
Before you decide, review the destination, travel dates, duration, traveller count, accommodation type, occupancy, meal plan, transfers, sightseeing and activity details. The document should distinguish included items from optional or excluded costs, such as entry charges, permits, personal purchases and services not expressly included. It should also identify the legal contracting entity, invoice particulars and a contact route for questions. Ask for a written correction if a sales discussion and the quotation differ; a general website headline is not a substitute for the agreed scope.
03Availability and quotation validity
Hotel rooms, transport seats, activity slots and permits may be limited, especially around holidays, weather windows and popular departures. Your quotation should state how long its price is valid and what needs separate confirmation. A delay in approval or payment may change availability. If the agreed service is no longer available before confirmation, we will explain alternatives and the updated cost rather than silently substitute a materially different service. You may ask questions or decline a new proposal before agreeing to it.
04Group and private trip arrangements
A group trip can involve a shared itinerary, common timings and other travellers. Ask about the group size, departure status, meeting point, room-sharing arrangements and any participation minimum. A private trip is planned for the party described in the booking and may still use independently operated hotels or activities. “Private” does not automatically mean every public attraction or supplier facility is exclusive. Accessibility, family requirements, language preferences and the pace of travel should be discussed before the itinerary is finalised.
05Payment schedule and accepted instructions
The amount payable, any deposit, instalment milestones, taxes and balance due date must be disclosed in writing for your booking. The website currently uses enquiry forms and external contact links; it does not request card information or provide an online payment checkout. Pay only through instructions you have verified with AWARA using +91 7439434345 or support@awaratravells.in. A request to change account details should be independently checked. Keep the payment reference and request the appropriate receipt or invoice for the amount received.
06Pricing, additional costs and discounts
The final quote should make the currency and tax treatment clear and explain unavoidable charges known at that stage. Material additions or requested upgrades must be discussed before they are accepted. A displayed discount is an invitation to check eligibility, not a guarantee of the same saving on every trip. Ask which package and reference price the saving relates to, whether travel dates are restricted and what is included. A running enquiry timer does not authorise a new charge or lock a supplier price.
07Traveller details, permits and special requests
Provide names, ages and other details accurately when required to secure a service or permit. Check the information on the confirmation before travel. Discuss any document requirement through an appropriate channel rather than uploading unnecessary identity information into the general form. Dietary needs, accessible rooms, specific views and similar preferences remain requests until expressly confirmed. Some routes, particularly high-altitude or restricted areas, depend on permits, nationality eligibility and current access conditions. We must explain a material restriction before confirming that part of a trip.
08Changes, outstanding amounts and cancellations
If you ask to change a confirmed booking, we will check availability and explain the price and cancellation implications. A material missed payment deadline can put supplier reservations at risk; the relevant consequences must follow the terms disclosed for that booking and applicable law. We will not describe an unconfirmed service as secured simply because an enquiry was sent. Cancellation and refund rights are set out in the companion policy and the agreed booking terms. Do not assume a requested modification has taken effect until it is confirmed.
09Confirmation checks and support
Before departure, keep the itinerary, booking references, pickup arrangements, emergency contact details and supplier confirmations reasonably accessible. Check baggage rules and identification requirements with the relevant operator. Raise discrepancies promptly and avoid paying an unexpected on-trip charge without asking for its basis where practicable. For booking support, email support@awaratravells.in or call +91 7439434345. Nothing in this policy allows a hidden fee, overrides an applicable consumer right or turns a payment acknowledgement into a promise of services outside your confirmed package.
