01Planning around real conditions

Travel can involve changing weather, road conditions, access restrictions, crowds, wildlife and unfamiliar surroundings. This policy explains practical responsibilities; it is not a guarantee of a risk-free trip or a replacement for professional medical or emergency advice. We plan around the agreed itinerary and available information, while travellers must follow lawful instructions and communicate concerns. A destination photograph does not establish that a route is open on your dates. Confirm critical access and activity details through the booking team before departure.

02Health, altitude and suitability

Discuss fitness needs and any accommodation or accessibility requirements that materially affect your trip before booking. High-altitude routes and strenuous activities require particular care; ask a qualified healthcare professional about individual suitability rather than relying on promotional content. Tell the operator if you feel unwell and follow instructions to pause or seek help. We cannot diagnose conditions through the enquiry form. Share necessary support needs through a suitable private channel, and avoid putting detailed health records into a public or general-purpose message.

03Restricted routes, documents and permissions

Some Indian destinations require identification, permits, specific eligibility or permission from local authorities. Requirements can vary by route and traveller circumstances. Carry the original or accepted form of required documents and check that names match your reservations. North Sikkim, border regions and other controlled areas can be affected by official restrictions or road closures. A permit application is not a promise of approval. If access changes, we will discuss the effect on the itinerary, available alternatives and the relevant booking and refund terms.

04Road travel, pickup and daily coordination

Check your pickup point, reporting time, meeting contact and the day’s plan before setting out. Wear available seatbelts, follow driver instructions and do not distract a driver or request unsafe shortcuts or speeds. Avoid unsafe roadside stops for photographs. Mountain journeys may take longer than a map estimate, so leave room for conditions and rest. Inform the trip contact if you are delayed or separated. A shared group itinerary may have practical timing limits, which should be explained before you agree to join.

05Hiking, water activities and wildlife

Use activities appropriate to your ability and follow the relevant qualified operator’s instructions, equipment requirements and local restrictions. Do not begin an unsupervised activity simply because it appears in a destination category. During a safari, keep the required distance from animals, do not feed wildlife and stay within permitted areas. At beaches and rivers, respect warning flags, current conditions and authorised access. Activity-specific conditions, insurance needs and exclusions should be checked before participation. We do not represent a general trip booking as training or professional supervision for every adventure.

06Conduct, local communities and the environment

Respect local customs, religious sites, residents and fellow travellers. Ask before photographing a person, entering private premises or publishing identifying content about a child. Keep noise and waste under control, use designated disposal options and do not remove protected plants, artefacts or natural material. Follow forest and monument rules, including restrictions on drones, fires and plastics. Harassment, threats, intoxicated unsafe behavior and property damage can affect participation. Any response should be reasonable, documented where practicable and consistent with safety, the booking terms and applicable law.

07Insurance, belongings and emergencies

Ask whether travel insurance is included; do not assume that a package price covers it. Where appropriate, consider independent cover for cancellation, interruption, medical treatment and the activities you intend to undertake, checking its conditions yourself. Keep essentials, medicines prescribed to you, valuables and documents secure. In an immediate emergency, contact local emergency services or seek on-site assistance first, then alert the trip operator and AWARA when safe. The published booking number is a coordination route, not a substitute for public emergency response or a guaranteed 24-hour emergency line.

08Disruptions, concerns and fair remedies

If conditions make an agreed activity unsafe or unavailable, follow immediate safety instructions and contact the team to discuss the impact. A route may need to be shortened, delayed or substituted. We will explain material changes and address the price or refund consequences under the booking agreement and applicable law, rather than using this policy to disclaim every obligation. Report a service concern as soon as reasonably possible, preserving relevant facts without putting yourself at risk.
